Middle Office Administrator
The Administrator will be responsible for the execution of trade instructions to Underlying Fund Administrators on behalf of our clients. The Administrators responsibility will also cover many other associated functions detailed below.
Daily operations:
•Ensure client trade instructions are received and processed with the Underlying Fund Administrators within the agreed deadlines.
•Check and initial fax confirmations to ensure deals have been sent and perform callbacks to underlying Administrators in line with agreed deadlines.
•Be pro-active in chasing/receiving trade contract notes and ensure they are checked to the original client instruction - any differences should be highlighted to line management and investigated immediately.
•Update corporate actions/proxy voting logs and prepare notices to clients in line with internal deadlines.
•Achieve and exceed key performance indicators (KPIs).
•Complete daily duties as outlined by management.
•Be involved in new business take-on and helping client understand what is needed from them and the process.
•Suggest efficiencies and improvements to current procedures.
•Take responsibility for personal development and seek challenges within your role.
•Ensure all filing and checklists are completed in a manner suitable for future review by line management and by auditors.
•Be an active team player assisting and providing cover for other team members.
Cash Reconciliations:
•Prepare trade related cash payments and pre-advice instructions.
•Check audit trails to cash payments and pre-advices to ensure that instructions have been sent correctly and on time.
Stock Reconciliations:
•Ensure all open cash reconciliation items are investigated daily and resolved.
•Perform monthly asset reconciliations between our records and Underlying Administrator's records. Any differences should be highlighted and investigated immediately.
Client servicing:
•Highlight any issues or concerns to line management.
•Answer client/custody/valuation related queries in a timely manner.
•Ensure to maintain a professional and proactive relationship with clients at all times.
Skills/Knowledge
Minimum educational requirements:
•Leaving Certificate essential. Preferable to have a diploma or degree in Finance/Business
Essential skills:
•Excellent organisational, inter-personal and communication skills
•Proactive, focused attitude towards work and an ability to consistently meet deadlines, as well as strong attention to detail and accuracy.
Desirable skills:
•Initiative and enthusiasm with an ability to achieve challenging goals
Essential knowledge:
•Experience in a similar role in financial services/funds industry.
Desirable knowledge:
Good knowledge of Fund of Funds would be a strong advantage
