Job Title: Senior Admin Assistant

This role is to act as PA to the managing director also supporting the management team and also acts as the office administrator   I am seeking a talented PA with strong financial services experience.


Diary management
Arrange travel and booking accommodation

Manage emails and telephone queries

Coordinate internal and external meetings and prepare agendas, tea/coffee, lunches

Attend monthly managers meeting and take minutes

Compile and distribute relevant papers for meetings and boards

Prepare presentations and arrange conferences

Prepare and distribute management weekly whereabouts

Maintain & authorise leave of absence for Transition team and Management

Track semi-annual PMP’s and follow up with management team

Liaise with Legal department and ensure Legal documents are signed accordingly. Take scanned copies of all documents signed by Directors for Company records.

Cross check and approve staff travel and expenses. Discuss with MD before approving.

Attend committee meetings and assist with preparing presentations

Cover for PA if on leave

Office admin

Ensure monthly KRIs are signed off by MD and input to dashboard system each month

Point of contact with local IT

Complete forms if applications or software required

Liaise with IT and Facilities on desk moves or leavers

Arrange internal and external Training and keep record

Point of contact of offsite storage, ensure spreadsheet is up to date, load information to Warenet, arrange collection/returns, order materials (bar codes, boxes, security tags)

Update company organisation chart

Maintain Client Contact Database

Assist with marketing as and when required

Prepare overtime reports for management

Keep record of management job specs and bios

Ensure consecutive weeks leave are taken accordingly

Order Trust Co headed paper, with Compliments slips and business cards

Aspire rep, assist managers with inputting aspire nominations and ensure vouchers are received

Ensure staff adhere to clear desk policy
