Administration Assistant
Responsible for reception cover for the Dublin operation on a daily basis ensuring that switchboard is operated in a highly professional manner. Act as contact for general administration queries from management and staff within the operation. Directly support Senior and Line Managers with any administrative issues. Directly support Senior and Line Managers with processing of expense reports using the expense system. Oversee the day to day responsibilities relating to the courier and taxis. Ensure that all documentation is up to date and corresponds to invoices received. Co ordinate and update the Dublin departmental list on a regular basis. Assist HR in maintaining records of sick and holiday leave for staff. Assist with the logistical arrangements and the production and distribution of materials for board and committee meetings. File documents and maintain inventories. Assist with legal invoices and maintain expense tracker. Act as contact for all travel arrangements for staff. Oversee all account, correspondence and invoice related issues associated with travel. Liaise with Building Manager with regard to any maintenance issues. Liaise with security with regard to any access cards required, and any visitors to the office. |

| Experience: |
experience operating a busy switchboard. Computer Literate particularly in Word, Excel, PowerPoint etc. Excellent organizational skills and ability to work on multiple task
